Sheet 1: About the Budget Drafting Tool
About the budget drafting tool
When you submit your application using the DJPR Grants Portal you will be required to submit a balanced budget. You can use this Excel tool to draft your budget to check that your budget balances.

All income and expenditure related to the project needs to appear in the budget. When you have completed the budget the Total Income and Total Expenditure must balance. Please don't use cents in any of your figures.

PLEASE NOTE: Please put the TOTAL $ income or expenditure on the appropriate line. Please use the description column to explain the different income or expenditure in more detail.
A sample budget has been created to help support the use of this drafting tool.

INCOME/EXPENDITURE DEFINITIONS

Total confirmed grants Confirmed grants from local, state and federal government. DON’T INCLUDE: The grant you are currently applying for. INCLUDE: Creative Victoria operational and project funding; Other Victorian State Government funding; Interstate Government funding; Australia Council and other Commonwealth funding
Total unconfirmed grants (excluding this grant) Unconfirmed grants from local, state and federal government. DON’T INCLUDE: The grant you are currently applying for. Total in-kind - OTHER contributions - e.g. Sponsorship/Private support/Venue space (estimated value) In-kind contribution from OTHERS, this could be sponsorship, private support, venue space or something else. Eg. use of a room or venue for rehearsal space free of charge.






Expenditure Type Definition FURTHER INFORMATION
Salaries, wages and fees (including on costs and allowances) Total Salaries, fees, on-costs: artists salaries (list each artist separately), other salaries, contracts, superannuation, living allowances/per diems

Marketing and promotion Total costs, that are not salary related, associated with marketing, promotion and communication, including advertising, promotional materials, launches and opening nights, sponsorship material (market research, website design, maintenance and hosting, newsletters, annual reports and other publications not for sale).  DO NOT INCLUDE: costs that are salary related.

Project/Production costs Development, production and/or recording costs, studio/venue hire, installation, materials, CD/DVD manufacture, travel, freight, project management. DO NOT INCLUDE: costs that are salary related.


Administration Total administration costs that are not salary related. Include overheads and insurance.

Access costs May include Auslan interpreters, audio description, captioning, access consultant etc. See further note below. Creative Victoria is committed to increasing access to, and participation in, arts and cultural activities for deaf and disabled people in Victoria. You are encouraged to consider inclusive ways of working and ensuring access to all audiences when planning your project and constructing your budget. Your funding request and associated expenditure items should reflect ways to reduce barriers for the people involved in your project.

Total in-kind - applicant's and other activity partners' contributions (estimated value) In-kind contribution from applicant and other activity partners'/participants. This can be in the form of somebody's time (estimated value) a service or a project/production costs being contributed free of charge.
These amounts MUST match the estimated value provided in the Income section of the Budget.
Total in-kind - OTHER contributions - e.g. Sponsorship/Private support/Venue space (estimated value) In-kind contribution from OTHERS, this could be sponsorship, private support, venue space or something else. Eg. use of a room or venue for rehearsal space free of charge.



NOTE - In Kind If you have an item of expenditure (eg venue hire) that is covered through income of both in-kind and cash, you must show each expenditure amount as a separate item. The cash component must appear under the appropriate heading (eg Project / production costs) and the in-kind component will need to appear in both the Income in-kind and Expenditure in-kind.
